When to use this template

The project sync template is for recurring status meetings - typically weekly or bi-weekly - where a project lead reports on milestones, surfaces risks, and captures the decisions that move the project forward. The four tables (Milestones, Risks, Decisions, Action Items) are the bones of any status meeting; the Related Documents table closes the loop by linking the conversation back to the artifacts.

Use it for engineering project syncs, cross-functional program reviews, and any recurring meeting where you need to track the same items week-over-week. Skip it for one-off ad-hoc meetings (use the standard meeting template) or for retrospectives (use the retro template).

How it differs from siblings

The standard meeting template handles one-off meetings; the project sync template handles recurring ones. The Milestones table and Related Documents table are the two structural differences. Where the standard template captures generic action items, the project sync template adds Priority and Status columns so the same task list can roll forward into the next meeting without rewriting.

What the AI summary looks like

Meetily fills the Milestones table only when an attendee explicitly reports on a milestone - it does not invent rows. The Progress Summary is one tight paragraph covering what changed since last sync. The Risks table is conservative: it captures risks that were named on the call, not inferred. The Decisions table includes a transcript timestamp so anyone can replay the moment a decision was made. Action Items propagate forward to the next meeting; closed items move to a Done status row.
